If you have ever attended a wedding out of town, then you know the difficulty of reserving a room for overnight accommodations. If your guest list is significantly high, consider reserving a block of hotel rooms for a simple and easy reservation process.

  • The number of rooms will be based on the number of out of town guests invited. If it is a large number, consider booking with two or three hotels in the same area.
  • Inquire about the best deals for those who book in the room block for your event. Some hotels offer a discount rate or special perks for your guests.
  • Confirm the exact check-in and check-out times as they may affect when your guests will arrive. Depending on the times, your guests will know whether to check-in the day of or day before the wedding.
  • Some hotels offer shuttle service with notice and complimentary breakfast, perfect convenience for your guests.
  • One expense to look for is "attrition", a penalty fee for unused and non-booked rooms. If you can't avoid signing this clause, make sure your contract includes a provision with a deadline to adjust the room blocks. It will give enough time for guests to reserve, and you to make any final changes.

Book a few months in advance to avoid unavailable rooms and inquire about suitable room rate fees. Remember to give the hotel staff a thank you note for their services and hospitality. without them, your guests would not have a warm and comfortable bed to curl up in after a long night of wedding festivities!
